WhatsApp automation without annoying your customers

Templated messaging, opt-outs and the line between helpful and spam.

WhatsApp has the highest open rate of any channel a business can use, which is exactly why it is the easiest one to ruin. Email fatigue took years to build. WhatsApp fatigue takes about three unwanted messages, and the penalty is not a lower open rate — it is a block, permanently, from a customer who was previously reachable.

The line, stated plainly

A message is welcome if the customer would have wanted to know it even if you had not sent it. An order shipped, an appointment tomorrow, a payment failed. A message is spam if its purpose is your revenue target rather than their situation, however well written it is.

Ask whether the customer would have gone looking for this information. If yes, send it. If no, you are borrowing trust you will not get back.

What works

Order and delivery updates, sent once per state change, never repeated
Appointment reminders 24 hours ahead with a one-tap reschedule
Payment and renewal notices where the customer needs to act
Support replies in the same thread, so history stays in one place
A requested document or quote, sent because they asked for it

What gets you blocked

Promotional broadcasts to a list that opted in for transactional messages
More than one message a week that the customer did not trigger
Anything sent outside their local business hours
Re-engagement sequences to people who stopped replying — they answered already
A chatbot with no visible route to a human

Practical constraints worth knowing

Business-initiated messages run on approved templates and are charged per conversation, which means volume has a direct cost. That constraint is useful: it makes indiscriminate broadcasting expensive enough to think about. Sessions opened by the customer are cheaper and less restricted, so the better strategy is to be worth messaging rather than to message more.

Make the exit obvious

Every automated sequence we build carries a plain opt-out in the first message, not buried at the end of a chain. Counter-intuitively this improves performance: the people who remain actually want the messages, so engagement rises and complaint rates fall. Hiding the exit only converts an unsubscribe into a block.

Opt-out in the first message of any sequence
Honour it instantly and across every sequence, not just that one
Always offer a route to a human within two exchanges
Cap frequency in the system so no campaign can override it
